Who can use this feature
Roles: Owner and Admin
Plans: Available on Standard, Plus, Advanced and Scale (Requires the external user to have their own paid account)
External roles are for sharing entity data between different organizations on Syft. External roles enable each organization to maintain and manage their own Syft account and share data amongst other organizations.
Standard external roles
Syft offers a variety of standard external roles that you can assign to as many people as you would like. Standard external roles include:
Accountant: Access tailored for accountants to all reports and transactions
Auditor: Access tailored for auditors to all reports and transactions
Oversight: Access to key metrics for financial oversight only (Total sales, total profit/loss, net margin, cash balance and summary reports)
Account: Access to account level reports only including financial reports (P&L, balance sheet, cash flow statements) without drill down to transactional level
Transaction: Access to all transactions and all reports including customer and product data.
To invite a user to share entity data with your organization, navigate to the "External organizations" top tab and click on "Invite User". Here, you can assign a standard external role to the user or a custom external role that you have already created.
💡 Pro Tip
External roles allows investors to monitor their portfolio regardless of the accounting or e-commerce system used by the portfolio companies.
Create a custom external role
With custom external roles, you can create a specialized role, drilling down into the most granular access details. For example, you may have an external user who only needs access to certain graphs under "Visualize". You can then select those specific graphs, say Income vs. Expenses, Sales, and Cost of Sales, and deselect everything else.
To create a new external role, navigate to "Users" and then to the “External Roles” top tab. Click on the “Create Role” button. You will then be prompted to name your external role and decide which feature set the role will have access to.
🛠️ Use Case
Portfolio companies may use external roles to share their financial data with investors. The portfolio companies can hand-pick the permission level of the external role using a pre-built external role or a custom external role. This will allow companies to share a chosen level of financial information with their investor.
You can create a consolidation with any entity externally shared with you irrespective of the permission applied. However, tools that require permissions that weren't provided will result in the entity's data filtered out from the report.
