Invite guest users to Syft and manage their permissions.

Who can use this feature

Roles: Owner and Admin

Plans: Available on Standard, Plus, Advanced

Note: This requires the guest user to have their own paid account.

Guest roles are for sharing entity data between different organizations on Syft. Guest roles enable each organization to maintain and manage its own Syft account and share data with other organizations.

Standard guest roles

Syft offers a variety of standard guest roles that you can assign to as many people as you would like. Standard guest roles include:

  • Accountant: Access tailored to accountants, including all reports and transactions. This is recommended for your accountant, who has their own Syft account.

  • Oversight: Access to top-level metrics in oversight only. This is recommended for users with their own Syft account, who only need to see account balances for your entities.

  • Account: Access to all reports excluding transaction-level data. This is recommended for users with their own Syft account, who only need to see account balances for your entities.

  • Full access: Access to all reports and transaction-level detail. This is recommended for users with their own Syft account who need total access to your entities.

Click on the drop-down arrow next to the Role name to see what Syft features they have access to.

To invite a user to share entity data with your organization, navigate to the Users section in the settings dialogue. Follow the steps as indicated in the pictures below:

In Users, click on "Invite Users" and then enter their email address, select a role, and select their entity access.

💡 Pro Tip

Guest roles allow investors to monitor their portfolios regardless of the accounting or e-commerce system used by the portfolio companies.

Create a custom guest role

If none of these standard roles for guests suit your needs, you can create your own custom roles. To create a new guest role, navigate to "Roles" and then click on the "Create custom role" button.

You will then be prompted to name your role, give it a description, and select the role type. In this case, the role type would be Guest.

Click "Create" and you will see you can now select what features the user will have access to.

To find out more about each section, click the arrow next to its name. From there, you can untick any features that you would not like this user type to have access to. For example, you might want them to have full access to visualizations but want to untick financial statements, consolidation eliminations, or forecasts, as these are too complex for their needs.

🛠️ Use Case

Portfolio companies may use guest roles to share their financial data with investors. They can hand-pick the permission level of the guest role using a pre-built guest role or a custom external role. This will allow companies to share a chosen level of financial information with their investors.

You can create a consolidation with any entity externally shared with you, irrespective of the permission applied. However, tools that require permissions that weren't provided will filter the entity's data out of the report.
