How to report on and analyze your tracking categories, classes, locations, analysis codes and projects in Syft

Divisions are the catch-all Syft term for Tracking Categories, Analysis Codes, Classes and even Projects across our integrations.

Divisions and our integrations

Many of our integrations offer various tools to track or allocate transactions, facilitating divisional reporting and analysis. A summary of each integration's tools and how they pull through to Syft as divisions is as follows:

Xero tracking categories

Xero permits four tracking categories to be set up, of which only two can be active or unarchived. Each tracking category can then be fleshed out with numerous tracking options. Syft pulls through the two active tracking categories and all the associated tracking options.

QuickBooks Online classes, locations and projects

QuickBooks Online has no specific limit as to how many classes or locations can be set up. Classes and locations are hierarchical, with the ability to have up to five levels of nested classes and locations (the parent at the top, with up to four sub-levels). Classes can be assigned to a transaction on a line by line basis or they can be assigned to the entire transaction. Meanwhile, a single location can be assigned to the entirety of each transaction.

Syft will recognize the first two levels of classes and locations, meaning only the parent and first sub-level are available for selection. Projects will also pull through to Syft as divisions.

Sage Business Cloud Accounting analysis codes

Sage Business Cloud Accounting allows users to specify up to 3 analysis codes and each analysis code can have multiple analysis categories as options. Any transaction in Sage may be assigned an analysis category for each analysis code. Within Syft, users may choose a mix of analysis categories from which to filter as divisions.

Sage Intacct

As one of our premium integrations options, Sage Intacct entities on Syft leverage divisions to provide a wealth of analysis and reporting options. Each of the dimensions in your Sage Intacct entities are recognized as divisions and available for selection.

If you have created a consolidation of entities that contain divisions, you will be able to select any of the divisions from the underlying entities when working in the consolidation.

Exact divisions versus any divisions

As transactions can be assigned to multiple divisions (up to two tracking categories in Xero, a class and a location in QuickBooks Online and up to three analysis codes in Sage Business Cloud Accounting), there are two options available when choosing certain combinations of divisions. "Exact divisions" will contain only the transactions that have all of the chosen divisions assigned, as this option identifies the intersect. "Any divisions" will contain transactions that feature at least one of the chosen divisions assigned, as this option identifies the union.

If you have any duplicate entities (created using our duplicate entity feature), then the divisions of the original entity will also be available in the duplicate.

Divisions and unallocated transactions

Syft will create a division called 'Unallocated', for all transactions that have not been assigned a division in the underlying division. This is great for when you need a full divisional breakdown of your financials, as the inclusion of the unallocated division will ensure that the summation of your divisional values will tie back to the total expected value.

Divisions across our feature-set

Filtering by divisions is available for use in the following features in Syft:

  • Account visualizations

  • All profit and loss reports

  • All EBITDA reports

  • All balance sheet reports

  • All Trial Balance reports

  • All Ledgers

  • Budgets and forecasts

You can also create a stand-alone entity from a combination of the divisions in a single entity, in the form of a segment. This allows you to leverage the full Syft feature-set for your divisional reporting.

πŸ’‘ Pro tip

When creating a budget or forecast, you can filter for specific divisions. This will configure the budget or forecast to only contain accounts that have transactions assigned to the chosen divisions in your accounting provider.
