How to configure your layouts and chart of accounts in Syft

Different regions and industries have specific requirements when it comes to Profit and Loss statements and Balance Sheets. What makes sense for an accountant may not make sense for a restaurant. With Syft's layout creator, you can generate beautiful Profit and Loss and Balance Sheet layouts exactly as you would like them.

What is a layout

Layouts in Syft dictate the appearance of the Profit and Loss and Balance Sheet. You can move accounts and groups between categories; insert dynamic equations that reference any category, group, or account; insert headings anywhere in your P&L and Balance Sheet; and create groups, groups of groups, and even groups of groups of groups! Layouts also set the chart of accounts classification for your entities. This classification is utilized in many of Syft's features, so correctly configuring the layouts of your entities is a vital step to ensure you are getting the most out of your Syft subscription.

To configure your layouts, click on "Layouts" and then "Layouts & COA". Once there you can click on the "Profit and Loss" or "Balance Sheet" top tabs to find all the layouts for each statement.

Alternatively, you can configure your layouts from within certain features in financials by clicking the toggle between view mode and build mode. Any reports containing this button and found in the "Profit and Loss" tab (Profit and Loss and EBITDA) will take you to the Profit and Loss layout menu, while any reports found in the "Balance Sheet" tab (Balance Sheet, Working Capital and Changes in Equity) will take you to the Balance Sheet layout menu.

Every entity must have a default Profit & Loss and Balance Sheet layout. These layouts work in conjunction to set the chart of accounts classification that is used throughout Syft.

How to create a layout

If you have not yet created any layouts, navigating to layouts will automatically prompt you to do so. Otherwise, you can create a new layout by clicking the "+" button situated in the toolbar next to the dropdown selector.

There are three starting options when creating a new layout:

  • Start from scratch

  • Import a layout from another entity

  • Use an industry template

In addition to these starting options, you are provided with a variety of tools and capabilities to help get your layouts looking exactly as you would like. Let's examine each of these tools in more detail, before expanding on each starting option.

Tools to customize and edit a layout

Layouts include the following tools and capabilities:

  • Drag 'n drop: Layouts come with drag 'n drop functionality. Select accounts, groups or categories (single- or multi-select) and drag them where you want them to go.

  • Rename: Rename anything simply by clicking on its current name.

  • Undo and Redo: the undo and redo buttons are found on the top right of your page.

  • Categories: Create, edit and delete categories. Move accounts and groups between categories.

  • Equations: Insert dynamic equations that can reference any category, group, or account.

  • Groups: Create groups, groups of groups and groups of groups of groups. Syft will automatically indent accounts to help you recognize groups - you can increase or reduce indents at any time.

  • Headings: Insert headings anywhere in your P&L and Balance Sheet.

  • Spacers: Give your layouts some space to breathe by using spacers to provide line breaks in your statements

  • Chart of accounts: Chart of accounts classifications are built directly in your layouts for ease of use.

Accounts are single accounts (e.g. "Salaries") while groups are collections of accounts (e.g. "Salaries" and "Rent" under a group named "Primary expenses"). On the other hand, Categories represent sections in the financial statements (e.g. "Sales" or "Non-current assets"). Both accounts and groups live inside Categories.

The equation builder

Layouts come standard with our powerful equation functionality. Equations are useful to create formulae directly in your statements.

For example, you have two items and you'd like to display the gross profit margin (GPM) of each on the Profit and Loss. Create two equations referencing the following accounts and then drag 'n drop them anywhere on your Profit and Loss.

  • GPM Item A: (Sales Item A - Cost of Sales Item A) Γ· Sales Item A

  • GPM Item B: (Sales Item B - Cost of Sales Item B) Γ· Sales Item B

Equations can references individual accounts, groups, categories and even other equations that you've created!

Layout options

You can control several options from the layout creator, including:

  • Zeros: Select whether or not to show zero accounts, groups, categories and equations

  • Inactive accounts: Show or hide inactive accounts, as set in the underlying accounting provider

  • Account codes: Show or hide account codes before the account name

These can be found by clicking the "Options" button and are saved to that specific layout.

Starting options

Now that we understand what tools are at our disposal when editing a layout, it's time to look at the different starting options.

Start from Scratch

This entails creating the relevant categories, groups, headings, and equations, and moving accounts around so that they are in the correct places. You can also rename anything. When choosing this option, Syft will use any chart of account information from the underlying accounting provider as a starting point.

To make further adjustments simply select the accounts you would like to move or rename, click on "Add format" to add new categories, equations, or headings, and open your options to modify these.

Import a layout from another entity

If you already have a layout that you've set up for another entity that you would like to use for a new entity, you can do this with ease. Simply select this option and Syft will import all your categories, groups, headings and equations into the new layout.

Once you select this option, you will be prompted to select the entity whose custom layout you want to import. Then, Syft will deploy its machine-learning capabilities to do the rest.

When importing a layout from another entity, review equations and confirm that they reference the intended accounts for your new layout.

Industry templates

From retail to non-profits, tech to agriculture, we have prebuilt templates for a wide range of industries. Once you select the relevant industry template, Syft's machine-learning engine will automatically map your accounts to categories.

Simply click on this option and browse templates. Whether you are in the retail industry, hospitality, education, real estate, energy... We've got you covered. Click on "Use template" and voila! Your layout has been built.

Setting the default layouts

Remember, every entity must have a default Profit & Loss and Balance Sheet layout. The default layout will be presented when you land on the Profit and Loss or Balance Sheet. if you want to see a different layout: toggle over into build mode, select the appropriate layout from the dropdown menu, and then toggle back to view mode.

Furthermore, the default layouts work in conjunction to set the chart of accounts classification that is used throughout Syft. Changing the default layouts will thus alter an entity's chart of accounts classification if there are any differences between the two sets of defaults.

To set your default layouts, click the star button in the toolbar next to the dropdown selector. Make sure this is done for both the Profit and Loss and Balance Sheet!

Alternatively, you can navigate to "Options" > "Entity" to designate the default layouts.

Additional information

Chart of accounts carryover

To carry across the chart of accounts classification from one layout to another, ensure the layout with the preferred classification is saved as default before creating a new layout.

Changing account names and codes in your accounting provider

If there is an existing layout applied to a statement, account name changes from the accounting provider will not pull through, as the customization on Syft will take preference. However, such changes will pull through to any newly created layouts.

New accounts created in the accounting provider will pull through to all layouts - existing or newly created - following a refresh of the entity's data.

Adding accounts to layouts

You can add your own accounts in Syft to your layout (found under "Settings" > "Accounts"). You can add multiple accounts at once, pick the account category, and select the chart of accounts classification. Once you add an account on Syft, it will automatically show in your layouts.
