Scheduling your reports ensures that insights reach the right hands at the right time. Scheduled reports can be crafted to align with organizational rhythms, whether it's daily updates for operational teams or monthly summaries for executive review.
How to create a scheduled report
To add a schedule to a report pack, navigate to "Reports" and then click the "Schedules" top tab. Click on "Add scheduled report".
The pop up window will prompt you to complete 5 steps to create a new scheduled report:
Report settings: Select the template and entity for which you want to create the schedule. Next, specify the report format and the period from which data should be sourced.
Schedule your report: Set a send frequency. Next, choose the date and time of when the report should be sent as well as the time zone to be used.
Style your report: Select the style of the report as well as the Profit and Loss and Balance Sheet layouts to be used.
Check and protect data: You can protect your report with a password. If you forget your password, you will have to create a new scheduled report. You can also see a summary of the contents included in the report.
Email setup: Draft an email. Select recipients, a subject line and add a message with rich-text formatting.
Your scheduled report is now all set up and your report packs will be in the right hands at the right time.
Managing a scheduled report
Once scheduled reports have been created, you can manage the report in the following ways after clicking on the three dots next to the report:
Edit the scheduled report
Send the report immediately
Duplicate the scheduled report
Pause the schedule
Delete the scheduled report
💡 Pro tip
You can set up the scheduled report to receive a reminder email with a preview link the day before the report is sent by toggling on "Send me a reminder email" under the "Schedule your report" tab.
The list of scheduled reports created can be rearranged and grouped according to entity, template, month, creator or no grouping. This will make it easier to keep track of the different scheduled reports created.
📓 Note
You can't edit the template and entity of the scheduled report - this is intentional to avoid mismatches between recipients, email content, and passwords.
Permissions
You can create custom roles to allow different users with specific permissions to the scheduled reports. To create custom roles do the following:
Navigate to "Settings" > "Users" and then click on the "Internal roles" top tab
Click "Create role"
Under "Reports" toggle on the features that you want to allow access to for the role you created
Click "Save Role"
